1. Who we are and scope

This Website is operated by QOL STUDIO (PTY) LTD, registration number 2026/450495/07, a private company incorporated in South Africa. For the purposes of the Protection of Personal Information Act 4 of 2013 (“POPIA”), QOL STUDIO (PTY) LTD is the responsible party for personal information processed through this Website.

This Privacy Policy explains how we collect, use, store, protect and disclose personal information when you visit qolstudio.com , submit a project enquiry, or communicate with us through the contact details published on the Website.

2. What data we collect

When you use our Project Enquiry form, we may collect the information you choose to provide, including your name, email address, company name, company website, budget range, estimated project start date, expected launch date and the project information you submit.

We may also process limited technical information needed to operate and protect the Website. This can include an IP address used for abuse-prevention or rate-limiting, together with ordinary server or security-log information such as a request time, requested page, browser or device information.

If you contact us directly by email or another communication channel, we may keep the contact details, message content and related correspondence needed to respond to you and manage the enquiry.

Please do not intentionally send special personal information, confidential identification documents, or personal information about children through the Project Enquiry form unless we specifically request it for a lawful and necessary reason.

3. Why we use this data

We use personal information to respond to enquiries, understand project requirements, prepare quotations or proposals, discuss possible engagements, deliver agreed services, communicate with clients, administer business records, maintain Website security, prevent abuse and comply with legal or regulatory obligations.

We do not sell personal information. We do not use the Project Enquiry information for cross-site behavioural advertising. If we wish to use personal information for electronic direct marketing, we will do so only where permitted by POPIA and will obtain consent where the law requires it.

5. Who has access

Access to personal information is limited to people at Qol Studio who need the information to deal with an enquiry, provide services, administer the Website or meet legal and business obligations.

We may also use service providers that process information on our behalf where this is necessary to operate the Website or communicate with you. This can include our South African hosting provider, xneelo (Pty) Ltd , email and Website infrastructure providers, and technical service providers used to deliver fonts, media or other Website resources.

We may disclose information where required by law, regulation, court order or a lawful request from a competent authority, or where reasonably necessary to establish, exercise or defend legal rights.

We take reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access, alteration or disclosure. No Internet-based system can, however, be guaranteed to be completely secure.

6. International transfers

Qol Studio is established in South Africa and our main Website hosting provider is based in South Africa. Some third-party technology, email, font or media services used by a Website may operate infrastructure outside South Africa.

Where personal information is transferred to a recipient in another country, we will take reasonable steps to ensure that the transfer is permitted under section 72 of POPIA, including by relying on an appropriate level of protection, a binding agreement or other lawful basis recognised by POPIA.

7. How long we keep data

We keep personal information only for as long as it is reasonably necessary for the purpose for which it was collected, or for a longer period where retention is required or permitted by law, a contract, a legitimate business need, dispute-resolution requirements or another lawful basis under POPIA.

Enquiry information that does not lead to a project may be deleted or de-identified when it is no longer reasonably required. Information connected to an active or completed client engagement, accounting record or legal matter may need to be retained for longer where applicable law or legitimate record-keeping requirements require this.

8. Your rights

Subject to POPIA and other applicable South African law, you may have the right to ask whether we hold personal information about you, request access to that information, ask for inaccurate or incomplete information to be corrected, request deletion or destruction where legally appropriate, object to certain processing, or withdraw consent where processing is based on consent.

To make a privacy request, email studio@qolstudio.com . We may need to verify your identity before acting on a request. Requests for access to records may also be dealt with under the Promotion of Access to Information Act 2 of 2000 (“PAIA”) where applicable.

9. Cookies and third-party resources

Our custom public Website pages are not designed to use advertising cookies or cross-site behavioural tracking cookies. WordPress, hosting infrastructure or other necessary Website functionality may use technical cookies, session mechanisms or similar technologies where required for security, administration or normal operation.

Some pages may load fonts, images or other resources from third-party infrastructure. When your browser requests those resources, the third-party provider may receive ordinary technical request information such as your IP address, browser information and the requested resource.
